Not only does a well-organized schedule give your videographers the time they need to set up and get creative shots, but it also ensures that you can be fully present, savouring each moment rather than rushing through it. A thoughtful timeline can make the difference between a stress-free, beautifully captured day and one where both you and your video team feel hurried with the chance of missing moments.

Why Planning for Extra Time is Key for Your Wedding Video
On your wedding day, there are many moving pieces, and delays are often unavoidable. Whether it’s getting ready taking longer than expected or transportation running behind, small delays can quickly add up, leaving you and your videographers feeling pressed for time. When it comes to video we like to show up when the makeup artist arrives. This gives us time to get settled, set up the detailed shots and get a chance to go over our game plan with the people that are there. For us we choose to only offer full day video coverage that way there’s no rushing to fit us in here and there within a few hours. This also allows you to relax and take in each moment rather than feeling like you’re in a race before coverage time ends.
What are the benefits of planning for extra time?
1. Allows for Creative Shots: Videographers need time to scout locations, set up shots, and adjust lighting. Extra time means they can focus on crafting those cinematic shots that make your video unique.
2. Gives You Time to Be Present: A rushed day makes it harder to be fully present, which can show in your video as well as your photos. Extra time allows you to take a breath and truly enjoy each part of your day.
3. Reduces Stress from Unforeseen Delays: Even with the best planning, delays happen. Having a cushion in your timeline means these hiccups won’t cut into precious video time or worse not allow your video team to set up the lighting or tripods resulting in missed moments.
Tips for Building a Wedding Day Timeline with Your Videographers in Mind
1. Talk to Your Videographer Early: When creating your timeline, consult your videographer. They can advise you on the best times for natural lighting and when they’ll need extra time to capture certain shots. Early planning also lets them understand your vision for the day. Make sure they make time to attend your rehearsal the day before your wedding as well as teaming up on the timeline details with your photographer. I cannot stress how important this is. As a wedding photographer of 14 years I have seen some videographers show up just the day of the wedding without a clue what is happening and missing out on moments because they didn’t know what to expect.
2. Include “Breathing Room”: Adding 10-15 minutes of buffer time between major events is key. If there is travel time between venues consider adding in 20-30 minutes. This keeps your day running smoothly if something runs late and gives you and your partner a chance to enjoy the moment.
3. Plan a First Look: A first look not only adds a personal, romantic moment to your video but also gives you the chance to take some photos and video clips before the ceremony. This can save time later in the day and reduce the amount of time you’re away from guests.
4. Factor in Travel Time: If you’re moving between locations, consider traffic, construction and potential delays. Give yourself extra time to account for any transportation issues.
5. Schedule a Moment for Just the Two of You: Carve out 10-15 minutes for a quiet moment alone with your new spouse. This intimate time is perfect for your videographer to capture heartfelt reactions and candid expressions of your joy. You can also choose this time to read each other your vows if you didn’t want to do them in front of the crowd.

9:00 AM – Hair and makeup begins for the bridal party. Videographer arrives to film bridal details, the candid moments and if you opt to do so, the reading of a letter from your partner (more on that in the blog post HERE).
11:00 AM –Videographer captures the groom and groomsmen getting ready.
1:00 PM – Bridal party gets dressed; videographers capture final touches for both parties.
1:30 PM – First look and private video session. Videographers have time to capture reactions, emotions, and candid moments.
2:00 PM – Group photos with bridal party and family. Videographers capture these scenes to highlight family and friends in the video.
2:30 PM – Videographer arrival and set-up for the ceremony.
3:00 PM – Ceremony begins (approx. 30-45 minutes).
3:45 PM – Post-ceremony video session. Newlyweds take portraits and videos while guests head to the reception.

6:00 PM – Reception begins. Grand entrance and first dance are captured.
